Coombeshead Farm Terms and Conditions of Booking

Please familiarise yourself with our Terms and Conditions before making your booking. By booking through our site you confirm that you have read and understood the below. 

Allergies and dietary requirements

We ask that you let us know about any allergies or dietary requirements at the time of booking so that we can safely cater for you at Coombeshead. Please note that we are only able to cater for medical allergies and dietary requirements and are unable to accommodate preferences.

Safety on the Farm

During your visit we ask that you please remember that we are also a working farm with livestock and farm machinery. The majority of the fencing around our animals is electrified and we also have an unfenced pond and river surrounded by rough terrain so we ask that you explore the grounds cautiously and with respect. We have staff on the move both on foot and on farm machinery throughout the week who are always very happy to explain what we’re growing and rearing at the moment so please do feel free to ask questions as you move around the farm.

Animals

Unfortunately we cannot allow dogs into the guesthouse or dining room except for certified assistance dogs.

Dogs are allowed in Room 6 of the Grain Store. We ask you to notify us upon booking if you will be bringing a dog with you. There is an additional charge of £30 per animal per reservation, which will be added to your bill on checkout, along with any exceptional charges should your dog cause any damage to our property whilst on site. We ask you to please bring a dog bed and bowl, etc, with you.

We must remind you that although dogs are allowed on our grounds, we are a working farm and have livestock spread across our 66 acres, most of which are free range and grazed within high power electric fencing. Dogs must therefore be kept on leads at all times and we ask you to take particular care around our livestock, as well as around other guests.

Liability

Coombeshead Farm accepts no responsibility for loss or damage of property, vehicles or vehicle contents belonging to guests during their occupancy, nor will we be responsible for any indirect, consequential or pure economic loss or any loss of profit, whether caused by our negligence or the negligence of our employees, contractors or agents, excluding any liability for death or personal injury caused by our negligence or liability for fraud or fraudulent misrepresentation. We ask that all visitors note and adhere to the safety guidelines detailed in these terms and conditions as well as safety advice from staff.

Children at Coombeshead

Children must be supervised at all times whilst at Coombeshead. We are a working farm as well as a guesthouse and restaurant and the environment was not designed for children. Parents or guardians must take full responsibility for their children’s behaviour and welfare whilst at Coombeshead and we cannot accept any liability for damages or injury sustained whilst at Coombeshead.

Children & Guesthouse and Bedrooms & Restaurant
Whilst we don’t like to exclude anyone from Coombeshead, the Farmhouse and Grain Store rooms are not suitable for children under the age of 12. 

Children & The Restaurant
We are happy to accept babies and children of all ages both at Sunday lunch and in the evenings. Children are now welcome in the evening but due to limited seating in the dining room and the cost involved producing each meal, every seat is charged for at full price.

Children & The Cottage
Our self catering cottage space is the only self contained space on the farm. You are welcome to bring children with you should you wish, however, the Cottage was not designed for young children so we would ask you to please bring your own apparatus such as high chairs, travel cots, etc. Guests will be liable to pay for any damages incurred to Coombeshead property and may be required to pay a supplementary cleaning charge should the cottage be left in an unreasonable state on checkout.

Children & Hire Outs
Should you decide to hire out the entire Farmhouse, Grain Store and Restaurant as a private group, you will be able to create a more bespoke experience and are thus welcome to bring children as part of your group. All of the liability exclusions and safety regulations defined in these terms and conditions continue to apply during your stay.

Children & The Farm
If you have hired out all of our rooms, or visited the farm for lunch with your children you are of course more than welcome to explore the farm with them. It is a wonderful setting for children to learn and explore, but we do ask you to be mindful of the farm safety advice as detailed above and never leave them unsupervised. 

Payment Policy

In order to confirm a reservation we ask for the full payment for your bed and breakfast stay upon booking. Payment can be made securely through our website. We accept all major credit and debit cards, including American Express. 

Credit card details are required to guarantee a reservation in the restaurant. By providing us with your details upon booking you agree to our cancellation policy, below.

Cancellation Policy

Guesthouse & Grain Store Cancellations
We take full payment for bed & breakfast upon booking. However, we understand that there may be occasions where you need to cancel your booking. Cancellations made over a month in advance of your reservation will receive a full refund. Cancellations made two to four weeks in advance of your reservation will receive a 50% refund. Cancellations made any less than two weeks before your reservation will not be refunded. Furthermore, if the cancellation is made less than 48 hours ahead of your Check-In time we also reserve the right to charge you the full cost of any dinner reservation associated with your booking, if we are unable to rebook your table.

After booking please check your confirmation email carefully as no liability can be taken for mistakes caused by human error after the fact. We strongly advise that you have travel insurance to cover the risk of cancellation.

Restaurant Cancellations
As with guesthouse stays, we ask that you inform us with the maximum amount of notice should you wish to cancel a table reservation. In the event of cancellation of a table in the restaurant less than 72 hours ahead of your arrival, we must reserve the right to charge you for the cost of your dinner or lunch menu should we be unable to rebook your table. In the event of cancellation or ‘no-show’ on the day of your booking, the cost of your entire dinner or lunch menu will be charged to your card.

Group Bookings & Private Dining

Please note that due to the small size of our dining room, except in the case of an Exclusive Hire of the Farm (see below), any party greater than 6 will be a manual restaurant or Private Dining booking. To book in for a party of over 6 people, or for queries about Private Dining, please do get in touch with us directly.

For all groups of over 6 people we ask for a 50% deposit of the menu price upon booking. Our cancellation policy is also adjusted for groups of over 6 people - in the event of cancellation less than one week before your booking, or ‘no-show’ on the day of your booking, we reserve the right to charge the cost of your entire dinner or lunch menu to your card.

Exclusive Hire of the Farm

All of the liability exclusions and safety regulations defined in these terms and conditions apply during an exclusive hire of the farm.

Any booking of more than 8 guests for an overnight stay requires an Exclusive Hire of the Farm (Exclusive Hire). Here ‘Exclusive Hire of the Farm’ refers to, barring the exceptions made clear below, the closure of all rooms, including the self-catering cottage, and restaurant, to all guests not part of the Exclusive Hire party.

Unless previously agreed, during any Exclusive Hire, the following services will still be operating and, where relevant, be available to guests who are not part of the Exclusive Hire Party:

  • Onsite Bakery
  • Farm Shop
  • Sunday Lunch

In order to confirm any Exclusive Hire booking made, a deposit of 50% of the agreed cost will be due at the time of booking, with the remaining balance due two months prior to the Check-In date, inclusive of any changes that may have been made to the agreed cost in the time since the original quote was given.

A note on Service Charge
We will add a discretionary 12.5% service charge to all Food & Drink served during your time with us (not to the cost of your accommodation). This is split equally amongst the team on the farm and can be removed if you'd prefer to pay an alternative amount or not at all.

Cancellation of an Exclusive Hire
Cancellations made more than two months in advance of your Check-In date will receive a full refund. Cancellations made less than or equal to two months, but more than one month in advance of your Check-In date will receive a 50% refund. Cancellations made less than or equal to one month before your Check-In date will not be refunded.

Weddings on the Farm

‘Weddings on the Farm’ (Wedding(s)) are defined as any booking of more than 30 guests, and/or, any booking requiring use of our converted barn licensed for legal wedding ceremonies.

During any Wedding, the following services will still be operating and, where relevant, be available to guests who are not part of the Wedding Party:

  • Onsite Bakery

In order to confirm any Wedding booking, a deposit of 50% of the agreed cost will be due at the time of booking, with the remaining balance due eight months prior to the Check-In date, inclusive of any changes that may have been made to the agreed cost in the time since the original quote was given.

A note on Service Charge
If we are responsible for service during your wedding, we will add a discretionary 12.5% service charge to all Food & Drink served during your time with us (not to the cost of your accommodation). This is split equally amongst the team on the farm and can be removed if you'd prefer to pay an alternative amount or not at all.

Cancellation of a Wedding on the Farm
Cancellations made more than eight months in advance of your Check-In date will receive a full refund. Cancellations made less than or equal to eight, but more than five months in advance of your Check-In date will receive a 50% refund. Cancellations made less than or equal to five months before your Check-In date will not be refunded.

Winter 2023-24 Single Night Dinner Bed & Breakfast Offer

From 19th October 2023 through to the end of March 2024, if you book through our single night 'Winter Single Night Dinner, Bed & Breakfast' rate offer your Thursday or Sunday room rate will be inclusive of our set three course dinner for up to two people per room. Your dinner table will be automatically booked for you at 7.30pm.

*Please note that our Winter Dinner, Bed & Breakfast offer does not apply to multiple night stays - multiple night rates automatically discount equivalent savings across your stay. If the rate does not appear available to book online unfortunately it does not apply to the dates you have chosen. Over the Christmas period, between 20th December and 1st January, these rates do not apply.
